3. Booking Process
Booking your trip with Trekking Nepal Pvt. Ltd. is simple, secure, and hassle-free.
Our booking process is as follows:
Step 1 – Contact Us Get in touch with us by email, WhatsApp, or through our website and let us know which trip or trekking adventure you are interested in.
Step 2 – Receive Your Personalized Proposal Based on your travel plans and preferences, we will send you a detailed itinerary, quotation, and all the information you need to plan your journey with confidence.
Step 3 – Confirm Your Booking To secure your reservation, a 20% deposit of the total trip cost is required. For trips that require domestic flights to mountain regions, such as the Everest Region (Lukla) and other destinations where flight tickets must be purchased in advance, a 30% deposit may be required. This allows us to secure your flight tickets and other essential services as early as possible.
Step 4 – Booking Confirmation Once we receive your deposit, we will send you an official Booking Confirmation by email. We will then begin arranging your permits, accommodation, transportation, guides, and all other services included in your itinerary. The remaining balance can be paid after your arrival in Nepal, but must be fully settled before your trek or tour begins.
If you have any questions before or after your booking, our team will always be happy to assist you.
4. Payment Options
For your convenience, we offer several secure payment options.

- Nepalese Rupees (NPR)
We accept payments by:
- International Bank Transfer (Wire Transfer)
- Cash upon arrival in Nepal
- Other payment methods by prior agreement
Important Information
If you wish to avoid high international bank transfer fees, you may transfer only the required deposit (20%–30%) to confirm your booking and pay the remaining balance in cash (USD, EUR, or NPR) after arriving in Nepal.
This option helps many of our guests reduce unnecessary banking charges while keeping their booking fully secured.
As soon as your deposit is received, your reservation will be confirmed, and you will receive an official Booking Confirmation by email.

6. Flexible Booking Changes & Cancellation Policy
We understand that travel plans can sometimes change due to personal, family, or unforeseen circumstances. For this reason, Trekking Nepal Pvt. Ltd. follows a flexible, transparent, and customer-friendly cancellation policy whenever possible.
Changing Your Travel Date
If you wish to change your departure date, please inform us as early as possible.
In most cases, we will gladly help you reschedule your trip to a new date with as little inconvenience as possible.
However, if hotels, domestic flights, climbing permits, trekking permits, or other services have already been confirmed, additional charges may apply according to the policies of the respective service providers.
Trip Cancellation
If you need to cancel your trip, please notify us as soon as possible in writing by email or WhatsApp.
We will always do our best to find the most suitable solution for you.
- More than 90 days before departure: Your deposit may be refunded after deducting administrative and banking charges, or it can be kept as a credit for a future trip.
- Within 60 days before departure: Cancellation charges may apply due to confirmed hotel reservations, permits, transportation, or other pre-booked services.
- Less than 30 days before departure: Due to the policies of our service providers, the deposit may not be refundable. By confirming your booking, you acknowledge and accept this policy.
If a trip cannot operate due to circumstances beyond our control, such as natural disasters, government restrictions, security concerns, or other unforeseen events, we will do our best to offer an alternative departure date, an alternative itinerary.
7. Travel Insurance
Your safety and well-being are our highest priorities.
Trekking and adventure travel in the Himalayas involve high altitude, changing weather conditions, and remote mountain environments. For this reason, comprehensive travel insurance is mandatory for all trekkers and adventure travelers.
We strongly recommend that your insurance policy includes:
- Emergency medical treatment
- Helicopter evacuation
- Search and rescue services
- Trip cancellation or interruption
- Personal accident coverage
- Loss or theft of baggage and personal belongings
Before traveling, please make sure you fully understand the coverage provided by your insurance policy.
If an emergency occurs during your trip, our team will do everything possible to assist you with rescue arrangements, hospital coordination, and communication with your insurance provider whenever needed.
8. Health & Safety
A journey in the Himalayas is a truly unforgettable experience, but it also requires good physical and mental preparation.
If you have any medical conditions, allergies, are taking regular medication, have recently undergone surgery, or have any other health concerns, please let us know before confirming your booking.
This information helps our team prepare accordingly and ensures we can provide you with the safest and most appropriate support throughout your trip.
During your journey, our experienced guides will regularly monitor your health and well-being, especially at higher altitudes.
If a guide believes that continuing the trek could pose a serious health or safety risk, they may advise you to rest, descend to a lower altitude, or seek medical assistance. Such decisions are always made with your safety as the highest priority.
We firmly believe that returning home safely is a greater achievement than reaching the summit.
9. Flights, Weather & Unforeseen Circumstances
Weather conditions in the Himalayan regions of Nepal can change rapidly and are often unpredictable.
Domestic flights to mountain destinations such as Lukla, Jomsom, Dolpo, Simikot, and other remote areas may be delayed, postponed, or cancelled due to weather or operational conditions.
These situations are beyond the control of Trekking Nepal Pvt. Ltd., the airlines, or our guests.
If such circumstances arise, our team will do everything possible to find the best and quickest solution while always prioritizing your safety, comfort, and travel experience.
When necessary, we will assist you by:
- Rebooking domestic flights
- Arranging alternative transportation
- Managing hotel reservations
- Providing information about helicopter charter options (when available and required)
Please note that any additional costs resulting from these changes may be charged according to the policies of the respective service providers and the actual expenses incurred.
No matter the situation, we will never leave you to deal with it alone. Our team will continue to support and assist you throughout your journey.

Clients are expected to:
- Provide accurate and truthful personal information during the booking process.
- Obtain a valid passport, Nepal visa, travel insurance, and any other required travel documents before the trip begins.
- Ensure they are physically and mentally prepared for the chosen trek or tour.
- Follow the safety instructions and guidance provided by our guides and local representatives.
- Respect Nepal's local culture, traditions, religious sites, and local communities.
- Help protect the natural environment by avoiding littering and respecting wildlife and the Himalayan ecosystem.
- Treat fellow travelers, local people, guides, porters, and our staff with courtesy and respect.
- Take responsibility for their personal belongings, including cash, passports, and other valuables.
We always strive to be flexible, understanding, and supportive. However, if a participant's behavior seriously endangers the safety, health, or enjoyment of others, or disrupts the trip, Trekking Nepal Pvt. Ltd. reserves the right to ask that participant to modify or discontinue their journey.
Any such decision will always be made with the safety, well-being, and best interests of all participants in mind.

If you experience any inconvenience, concern, or problem during your trip, please inform your guide or contact our office immediately. Most issues can be resolved quickly when we are made aware of them during your journey.
If you have any comments, suggestions, or complaints after your trip, we kindly ask that you notify us in writing by email within 14 days of the completion of your tour.

These Terms and Conditions are governed by and interpreted in accordance with the laws of Nepal.
Any dispute arising from these Terms and Conditions shall be subject to the jurisdiction of the competent courts of Nepal.
